How to use Canmers

Every task, step by step. Written for the person using it at the kitchen table — not for a software manual.

Setting up

About four minutes, done once.

Create your account

  1. 1Go to canmers.com/sign-up and sign up with your email and a password.
  2. 2Type your business name. Your web address builds itself underneath — Green Valley Market becomes canmers.com/green-valley-market.
  3. 3Click Continue. You land on your dashboard.

The web address can't be changed later, but the business name printed on your invoices can — that's a separate setting in My Store.

Set up your store before your first invoice

Three things, once. Every invoice afterwards is faster.

  1. 1My Store → Business Details — your phone, email, address, HST number, and tagline. Upload your logo and pick Modern or Classic receipt style.
  2. 2My Store → Settings — currency, HST on or off and the rate, shipping on or off.
  3. 3Products — add the five or ten things you actually sell.

Continue your paper invoice numbering

If your last paper invoice was #4,206, your first Canmers invoice should be #4,207 — not #1.

  1. 1Go to My Store → Settings.
  2. 2Find Invoice numbering and set the next number to 4207.
  3. 3Save. Every invoice from here counts up from there.

You can also date an order in the past, so you can type in your paper history first and keep one continuous set of records.

What you can put on your invoices

Products

Add a product

  1. 1Go to Products and click + New Product.
  2. 2Enter the name, e.g. Premium Gourmet Garlic.
  3. 3Add a description if you want one — it prints on the invoice line.
  4. 4Choose how it's sold by: kg, dozen, each, lb, bunch, box, litre, or tray.
  5. 5Set a default quantity — the amount people usually order. Saves a keystroke every time.
  6. 6Set the price per unit, then save.

Change a price

  1. 1Go to Products and click the product.
  2. 2Click Edit, change the price, and Save.

New invoices use the new price. Invoices you already wrote keep the price they were written at, so your past records stay accurate.

Delete a product

Open the product, click the delete icon, and confirm. Admins only.

Customers

Add a customer

  1. 1Go to Customers and click + New Customer.
  2. 2Enter their name.
  3. 3Add their phone and email — the email is what the Email invoice button uses later.
  4. 4Start typing the address and pick it from the autocomplete list.
  5. 5Save. Canmers assigns the next customer number automatically.

  1. 1Go to Customers and click their name.
  2. 2Scroll to Orders— every order they've placed, with the status and total, ending in a bold Grand Total.

On the customer's page, click Mapunderneath the address. A map of the delivery address opens right there — useful when you're planning a delivery run.

Writing orders

Create an order

  1. 1Click + New Order — in the sidebar, or from the Orders page.
  2. 2A blank, auto-numbered order opens, dated today.
  3. 3Pick a saved customer — their name, address, and email fill in — or just type a walk-in name.
  4. 4For each line: pick a product from the dropdown (unit and price fill in), or type a one-off description. Set the quantity, and adjust the price if today's is different.
  5. 5Add discount, HST, or shippingif they apply, with a short note beside each — like “market-day discount”.
  6. 6Add any notes or terms — these print at the bottom of the invoice.
  7. 7Click Save.

Pressing + New Ordercreates the order straight away, so a blank one exists the moment you click. If you didn't mean to, fill it in or ask an admin to delete it.

Find an order later

On the Orders page, combine any of these:

  • Status tabs — click several to combine them, e.g. Created + Pending.
  • Month — one dropdown.
  • From / To date — for an exact range.
  • Search — by customer name or order number.

The Orders found · Total billed · Still owedstrip above the table always matches your filter, not just the page you can see. Because the filter is stored in the web address, you can bookmark a view — “all unpaid orders” as a browser favourite. Clear filters resets everything.

  1. 1Open the order.
  2. 2Open History.

You'll see every event, newest first — Order created, Status changed: Pending → Paid, Items updated (1 added, 2 changed) — with the before and after values.

Delete an order

On the Orders list, use the delete icon at the end of the row. Admins only, and it asks you to confirm first.

The part Canmers exists for.

Mark an order paid

  1. 1Go to Orders and find the row.
  2. 2Use the coloured status dropdown in that row — no need to open the order.
  3. 3Choose Paid. It saves immediately.

For Cancelled or Returned, you'll be asked for a reason. Type it and confirm — it's stored in the order's history.

See who still owes you

  1. 1Open your dashboard.
  2. 2Click the Owed this year card.
  3. 3You land on exactly those unpaid orders, oldest debts included.

The Need attention card does the same for orders still sitting at Created, Pending, or Processing.

Print, PDF & email

Print an invoice

  1. 1Open the order.
  2. 2Click Print— your browser's print dialog opens with the invoice already laid out.

Download a PDF

  1. 1Open the order.
  2. 2Click Download PDF. It saves with the order number and customer name in the filename.

Email an invoice

  1. 1Make sure the customer has an email address saved.
  2. 2Open the order and click Email invoice — or Email status updateto tell them it's shipped.
  3. 3Your normal email app opens with the subject, message, and itemised order already filled in.
  4. 4Add anything personal, then send.

It sends from your own address, so replies come back to you.

  1. 1Go to My Store → Email Templates.
  2. 2Pick General or Status update.
  3. 3Edit the subject and message, and drop in any placeholder — customer name, order number, date, total, status, delivery method, your business name, or a full itemised summary.
  4. 4Save.

Reading the dashboard

The four cards

  • Owed this year — money billed but not collected. Click it to see those orders.
  • Paid this month— what you've actually collected.
  • Orders this month — the count, with your average order value underneath.
  • Need attention — Created, Pending, or Processing. Your to-do list.

Look at a different month

Use the ‹ › arrows beside Monthly insights. All three charts and the pipeline follow. You can't go earlier than your first order or later than today.

Read the charts

  • Orders per day— one bar per day, today in dark green. Hover for the count. On the current month you'll also see what you're on track for by month end.
  • Customers per day — how many different customers ordered that day.
  • Revenue per day — counted on the day an order is marked Paid, not the day it was written.
  • Order pipeline— where this month's orders are sitting.

If your revenue chart looks empty, it usually means orders haven't been marked Paid yet. Mark them off and the chart fills in.

Your store settings

Change how your invoices look

  1. 1Go to My Store → Business Details.
  2. 2Pick a receipt style — Modern (clean and minimal) or Classic (boxed and gridded, with an office-use block and footer lines).
  3. 3Upload your logo (Plus).
  4. 4Fill in your business details — everything here prints in the invoice header.
  5. 5Choose an accent colour. Free is fixed to forest green; Plus unlocks the full picker.
  6. 6Watch the preview beside the form, and save when it looks right.

Set up tax and shipping

  1. 1Go to My Store → Settings.
  2. 2Pick your currency.
  3. 3Turn HSTon, set the rate (13 for Ontario), and choose whether it's calculated before or after the discount.
  4. 4Turn shipping on and choose a flat amount or a percentage.
  5. 5Save. These become the defaults on new orders — you can still override any single order.

Adding your team

Invite someone to help

  1. 1Go to My Store → Team. (Admins only.)
  2. 2Enter their email address.
  3. 3Choose a role — Memberwrites and edits orders, products, and customers but can't delete; Admin can do everything, including billing.
  4. 4Send the invitation. It shows as pending until they accept.

To change someone's role, use the dropdown beside their name. To remove them, use the remove button and confirm.

Plan & billing

Upgrade to Plus

  1. 1Click Upgrade to Plus in the sidebar.
  2. 2Review what Plus unlocks.
  3. 3Choose monthly ($6.99 USD) or annual ($4.99 a month, billed yearly).
  4. 4Complete checkout. Your first 30 days are free.

Only admins can upgrade. Members see a note asking them to ask an admin. See what's in each plan →

Manage or cancel your subscription

Go to My Store → Billing. Subscription changes your plan, Payment updates your card, and Statements shows past charges. Cancel any time from the same place.

Backing up your records

Download everything

  1. 1Go to the Orders page.
  2. 2Click Backup, then Download as JSON.
  3. 3A file saves to your computer with every order and every line item in it.

Worth doing at the end of each season. Keep it with your books.

How your data export works

If something's wrong

The handful of things people ask about most.

The email button is greyed out

The free plan allows 20 email sends a month. Wait for the reset, or upgrade to Plus.

I can't upload a logo

Logo upload is a Plus feature.

The map says “Plus only”

The delivery map is a Plus feature.

I can't see any delete buttons

You're a Member, not an Admin. Ask your admin to delete it, or to change your role.

My revenue chart is empty

Revenue is counted on the day an order is marked Paid. Mark your paid orders as Paid.

“That name is already taken”

Someone already has that web address. Try a variation.

A blank order appeared in my list

Pressing + New Order creates it immediately. Fill it in, or ask an admin to delete it.
